COMMUNICATIONS AND DOCUMENTATION CONSULTANCY

ABOUT FPRJC!
FPRJC inspires and develops a generation of grassroots women to have a voice and ignite feminist leadership action for gender transformative change. We exists for the realization of a society free from all forms of gender-based discrimination, where every individual, regardless of their gender, age and identity can thrive and reach their full potential. Through advocacy and capacity building, we support communities to establish deep commitment to the promotion of human rights and the fight against inequalities and discrimination. We are the voice of the vulnerable and marginalized women, girls and other groups of different gender identities. We achieve this through our thematic areas on Women’s health right and well-being, Women’s Leadership & Governance and Women Cimate Action and Livelihoods Development.
FPRJC seeks to engage a qualified and experienced consultant or firm to support it establish effective communications mechanisms and document its work. The goal is to increase visibility of the organization and strengthen the capacity of the communications department.
OBJECTIVES
a) Assess and strengthen communications mechanisms of FPRJC
b) Review FPRJC website
c) Review and support FPRJC to strengthen its digital marketing ecosystem
d) Document and produce an annual report of FPRJC work.
SCOPE OF WORKS
The consultant (s) will be responsible for;
A. Assess and strengthen communications mechanisms of FPRJC
i) Review and enhance the communications policy to comprehensively support communications activities of FPRJC. Develop standard operating procedures as appropriate.
ii) Sensitize FPRJC team on the new policies / standard operating procedures, tools and templates
iii) Provide guidance on branding and visibility of FPRJC.
B. Review FPRJC website
i) Re-design and review a website for FPRJC
ii) Set up email accounts for FPRJC team
C. Review and support FPRJC to strengthen its digital marketing ecosystem
i) Review the existing social media platforms and make recommendations for improvement
ii) Support communications officer to establish and manage new opportunities for digital marketing.
D. Document and produce an annual report of FPRJC work.
i) Interview FRPJC team, stakeholders and beneficiaries to gather information and document best practices, lessons learnt and interest stories.
ii) Produce an annual report demonstrating FPRJC work and its impact.
DELIVERABLES
The consultant(s) shall deliver the following;-
a) An inception report outlining the methodology and work plan.
b) Reviewed and enriched communications policy, standard operating procedures, tools and templates and communications plan.
c) Brand and visibility guideline
d) Functioning website and email addresses.
e) Training report on digital marketing
f) FPRJC annual report
DURATION
The consultancy is expected to be completed within 30 days from the date of signing the contract.

REQUIREMENTS
The consultant(s) or consulting firm should have:
1. Excellent written and verbal communication skills
2. Proven experience working with non-profits, or institutions with a similar mission.
3. Strong organizational and project management skills
4. Excellent analytical and communication skills.
5. Proficiency in digital communication tools and platforms
6. Proficiency in web design and development
7. Ability to work collaboratively with diverse teams and stakeholders.
8. Knowledge of feminist’s principles and commitment to gender equality and social justice.

REPORTING
The consultant(s) will report to the Executive Director (ED).

PROPOSAL DOCUMENTS
Interested consultants or firms should submit a narrative proposal, a detailed budget outlining all costs associated with the consultancy, curriculum vitae, relevant past work, and references.

EVALUATION CRITERIA
Proposals will be evaluated based on:
1. Qualifications and experience of the consultant(s) or firm
2. Proposed methodology and approach.
3. Clarity and relevance of the budget proposal.
4. Past performance and references.
FPRJC reserves the right to accept or reject any proposal and is not bound to select the lowest-priced proposal.
CONFIDENTIALITY
All information obtained during the consultancy shall be treated as confidential and may not be disclosed to any third party without the written consent of FPRJC.
